One system, from the first entry to the last certificate.

A name is typed once. It carries through approval, a pass, a gate at half past seven, a judge’s sheet, a placing and a certificate with a code on it, and it is the same record the whole way. Nothing is exported to be re-imported, nothing is reconciled the night before, and there is no spreadsheet that is the real one.

The rules live in the database rather than in the screens: a cap holds when two coordinators submit at the same instant, a school cannot see another school, and results stay blocked until every judge has actually submitted. Woven cannot be talked out of them by a browser.

Entries with limits that hold

Set a cap per category and the database keeps it, even when two coordinators submit the same fourth entry in the same instant. A withdrawal gives its place back rather than leaving the school one short.

Nobody sees more than they should

A coordinator signs in and sees their own entries and nobody else’s. Guardian consent gates approval, a retention clock runs, and the pass a volunteer reads carries a name, a school and where to be.

Passes people can actually use

A QR and a code printed beneath it, because when the camera will not focus somebody reads it aloud. Eight to a page, grouped by school, so one teacher gets one stack.

Check-in that works when the wifi does not

A hall has one access point, four hundred phones and a metal roof. The scanner answers from a copy of the roster on the device and sends the scan when the signal comes back. If the phones fail there is a paper roster.

Results that can be defended

Placings stay blocked until every assigned judge has submitted, a judge marking their own school is flagged before it matters, and a judge who works on paper is a supported path.

Certificates anybody can check

Generated for a whole category at once, each carrying a code that anyone can verify on this site without an account, years after the day itself.
